JOB SUMMARY:
AAFSC is looking for a detail-oriented and highly organized HR Assistant to support the Human Resources department with administrative tasks and HR processes. The successful person will be a strong communicator, prove themselves as a trusted partner to both staff and management and be passionate about AAFSC’s work and mission. The ideal HR Assistant is excited about making a positive impact on organizational culture and improving the workplace for everyone here.

Essential Functions:
  • Maintain personnel files in compliance with federal, state, and local laws and AAFSC policy.
  • Support recruitment efforts by posting job openings, scheduling interviews, and assisting with candidate communications.
  • Ensure a smooth and welcoming experience for new employees by assisting with onboarding new hires, coordinating orientation, preparing new hire packets, and facilitating the completion of required documents.
  • Ensure that all HR documentation, including performance reviews, disciplinary actions, and similar employee records are maintained up to date and filed according to guidelines.
  • Assist employees with benefits enrollment; address inquiries related to health insurance plans, retirement plans, and other benefits.
  • Help prepare for employment audits by funders, including periodic internal auditing of HR files.
  • Performing periodic and ad hoc reporting, including responding to requests for current headcounts, attendance, turnover rates, employee census, demographics, etc.
  • Address correspondence, including employment verification, follow-ups, and general clerical support.
  • Perform other duties as assigned.
REQUIREMENTS
  • Demonstrated excellent written and verbal communication.
  • Excellent organization and time management skills, with the ability to manage multiple tasks and projects.
  • Excellent customer service skills and orientation.
  • Ability to handle sensitive and confidential situations and information with the utmost discretion.
  • Attention to detail and excellent, accurate follow-up.
  • Ability to work independently as well as collaboratively with team members and colleagues.
  • 1-3 years of administrative experience, with a preference for experience in human resources.
Strong technology skills, including proficiency with Microsoft Office products, HRIS systems, and navigating both government and internal databases.

PREFERRED QUALIFICATIONS
While candidates do not need to have experience in all of these areas, we will preference those who can demonstrate experience with as many as possible.
  • Experience with employee benefits administration.
  • Knowledge of employment laws and regulations.
  • Experience with recruiting and onboarding processes.
  • Bilingual or multilingual abilities (e.g., Arabic, Spanish) are a plus.
  • Experience working in community-based or nonprofit organizations.
EDUCATION AND DOCUMENTATION REQUIREMENTS
  • A high school diploma or equivalent is required; an associate’s or bachelor’s degree is preferred.
  • Job contingent on a pre-employment background check.
  • U.S. Work Authorization is required.
